Terms & Conditions


These conditions apply whether a contract has been agreed verbally or in writing. The Hirer plays a crucial role in ensuring the safety of the journey, and responsible for the actions and decisions of all the passengers on board the minibus and for any added costs incurred within the contract.


  1. E U, Driver Hour Rules:

Drivers of vehicles with more than nine seats are regulated by LAW and MUST comply to the EU, DRIVERS HOURS and Working Time Regulations; the Hirer accepts the responsibility of ensuring that the hours and times agreed by Imperial Care Transport Ltd are kept, neither the Hirer nor the passengers shall delay or interrupt the journey times so that the driver is at risk of breaching his E U. driving and Working Time regulations. If any breach because of instructions or misinformation from the hirer, the hirer will be charged additional costs.


  1. Parking or PCN:

The Hirer or Company who has confirmed the booking will be accountable for any costs associated with the journey due to the instructions of the hirer, i.e. Parking, pick-up drop-of.


  1. Vehicle and Size:

Imperial Care Transport Ltd, at the time of booking, agrees on the legal seating dimensions of the vehicle to be supplied. The hirer MUST NOT overload the vehicle beyond the legal seating compacity at any point of the journey.


  1. Journey Times:

Imperial Care Transport Ltd takes the Hirer’s advice on journey times in good faith; however, journeys may take longer than predicted due to bad Weather conditions, Breakdown, traffic congestion, or other events beyond reasonable control. In those circumstances, the company will not be liable for any loss or inconvenience the hirer suffers.


  1. Luggage:

All passenger Carrying vehicles are subject to restrictions on carrying luggage for statutory safety reasons. The Hirer accepts that the driver shall be the sole judge and to what extent the luggage is carried. Imperial Care Transport Ltd assumes no responsibility for the Hirer’s and passengers’ private property. The Hirer should notify Imperial Care Transport Ltd if items of high value are to be brought on the minibus when booking. It’s advised that High value items should be insured for transit by the hirer before journey commences. All luggage MUST be stored safely in defined areas and not on seats, Emergency exits or isles. Imperial Care Transport Ltd accepts no liability for any items left on the vehicle.


  1. Food and Drink:

The consuming of alcohol on a public service vehicle is an offence under the Sporting Events (Control of Alcohol Act 1985 and the driver would be prosecuted. And any person drunk in a Public Service Vehicle is guilty of an offence under the (Public Order Act 1986) and carries a maximum of £1,000.00 fine. Food and drink other than water are strictly forbidden on PSV vehicles.


  1. Animals:

No animals other than guide dogs and hearing dogs may be carriage at any time unless there is a prior agreement from Imperial Care Transport Ltd in advance of booking.


  1. Overall Safety:

The driver is always unwaveringly responsible for the safety of the vehicle and the passengers. The driver may remove any passenger whose behaviours jeopardize their safety or breach the Public Service Vehicle regulations. The Hirer can rest assured that the driver’s decision about the protection of the passengers is final; ensuring their safety is our top priority.


  1. Night Shoots:

At the end of night work, a turnaround day will be charged at 100% of the standard day rate. If a period of night shoots crosses over multiple working weeks, Imperial Care Transport Ltd reserves the right to charge a turnaround day for each week independently.


  1. Working on the 6th & 7th Day:

The six-day rate will be charged 1.5 times the standard day rate for the driver working six consecutive days on the same production. Any driver working seven straight days on the same production will be charged twice the standard day rate.


  1. Per Diems:

For any driver needed to stay away from home overnight, a per diem will be added to the daily rate, which will be charged to the invoice.


  1. Public Holidays:

Any bookings made in England and Wales will be charged at an increase of 2 times the standard rate.


  1. Over-Time Rate:

An overtime rate of £60.00 per hour will be charged over the agreed contracted time unless agreed in principle with Imperial Care Transport Ltd on booking.


  1. Cancellation:

Imperial Care Transport Ltd reserves the right to charge a cancellation fee of 100% of the hire for any bookings cancelled or amended with less than Fouty- Eight hours’ notice and 50% of the bookings less than 3-6 days’ notice.


  1. Payments:

All confirmed bookings MUST be paid in advance before the travelling date. Outstanding invoices MUST be paid in full within fourteen days of the invoice date. Any overdue payments will be subject to a late payment fee of £30.00 and a daily interest at 0.8%.


  1. Pre-Booking

Any pre-booking dates confirmed MUST be paid in full when booking is confirmed by the hirer to guarantee the dates pre-booked, No latter than 14-days before the journeys.


  1. Damage:

The Hirer will be accountable for any damage to the vehicle beyond normal wear and tear, including any damage caused by the passengers. The driver has the right to refuse to drive into any area he thinks is unsafe or unsuitable for the minibus.


  1. Lost Property:

Imperial Care Transport Ltd will NOT be liable for any items carried by the passengers on the Minibus. The passengers MUST accept responsible for their items taken in the Minibus. The Lost and Found book will record any items the driver finds. Passengers can contact the office, and a Lost and Found form can be filled out to report any lost items. The company will make reasonable efforts to find and return the lost items, but it does not guarantee recovery.


  1. Cleaning of Vehicle:

The hirer will be charged for a pre-agreed cost of £40.00 on any vehicle hired for three days or more within a working week. Imperial Care Transport Ltd reserves the right to apply an added valet charge to any hire where the vehicle is returned to an unfit state.


  1. Added services:

Imperial Care Transport Ltd at times may need to subcontract from another Operator, if this is the case then the hirer will be subject to extra costs and except the Operator’s terms and conditions. The hirer will agree to these before booking with the Operator.


  1. Breakdowns:

In case of an unforeseen breakdown or puncher, Imperial Care Transport Ltd will not be liable for any late arrival or loss gained due to the breakdown. If this is the case then Imperial Care Transport Ltd may need to hire a replacement vehicle at the hirer’s cost before booking.


  1. Liability:

Imperial Care Transport Ltd accepts no liability for unforeseen events and breakdowns, we want to reassure you that in case of an unexpected event, our liability will be limited to the cost of the hire, ensuring your peace of mind.


  1. Trailer hire:

There Will be a charge of £20.00 day for trailer hire if the hirer requires one at the time of booking. Any items in transit in the trailer should be insured by the hirer cost. Imperial Care Transport Ltd will not be liable for any loss or damage in transit.
